Questions Before You Start

How long does setup take?
About 5 minutes. Create your account, add your techs, set your service rates, and you're dispatching. If you have an existing customer list, you can import it via CSV in one click.
Can I import my customers from another system?
Yes. Export a CSV from whatever you're using now (Jobber, Housecall Pro, a spreadsheet) and upload it. Names, addresses, phone numbers, emails — it all maps automatically.
What happens to my data if I cancel?
It's already in your Google Drive. Every night, ApplianceOps backs up your calls, invoices, and customer data to YOUR Google account. If you leave, you keep everything. No export fees, no hostage data.
Do I need to install anything?
Nope. ApplianceOps works in your phone's browser. You can also "Add to Home Screen" for an app-like experience. No app store download, no updates to manage. Works on iPhone and Android.
Is there a contract or commitment?
No. Month-to-month. Cancel anytime from your Settings page. No cancellation fees, no retention calls, no BS. If ApplianceOps doesn't help your business, you shouldn't be paying for it.
How does credit card processing work?
We use Stripe. You connect your Stripe account during setup, and customers can pay by card right from the invoice. Standard Stripe processing rates apply (2.9% + 30¢). Funds go directly to your bank account.
I'm not tech-savvy. Can I still use this?
That's literally who this is built for. If you can text and use Google Maps, you can use ApplianceOps. There's no training period. Open it, see your calls, tap to invoice. My 62-year-old tech uses it every day.
How does the AI diagnosis feature work?
Tap Diagnosis Assist on any service call. Enter the model number and error code (or just describe the symptom). Our AI analyzes it and gives you the most likely causes, part numbers, estimated costs, and step-by-step diagnostic instructions. It works with every major brand and knows thousands of error codes.
Can I photograph dispatch sheets instead of typing everything?
Yes! Tap the clipboard icon, switch to Photo mode, and snap a picture of any dispatch email, warranty work order, or even a handwritten note. AI reads it and fills in the customer name, phone, address, machine type, and issue automatically.
Does the AI cost extra?
No. AI features are included in your $35/month plan. No per-use fees, no add-ons.
How does Smart Route work?
Tap the Smart Route button on your dispatch calendar. It looks at all your calls for the day, calculates drive times between stops, and reorders them to minimize windshield time — while keeping your AM/PM windows and fixed-time appointments locked in. Set your home base address and schedule windows in Settings.
How do appointment reminders work?
Customers with an email on file automatically receive a professional reminder email the day before and the morning of their appointment. It includes the date, time, address, and your company branding. Toggle it on/off in Settings under Reviews & Follow-up.
How do online payment links work?
When you send an invoice by email, it automatically includes a "Pay Now" link if there's a balance due. The customer clicks the link, enters their card on a secure Stripe-powered page, and the payment processes instantly. No app download needed for the customer.
Can I set up recurring/scheduled jobs?
Yes! Check the "Repeat this call" box on any service call. Set the interval (every X weeks or months) and an optional end date. New bookings auto-create on schedule and show a repeat icon on the calendar. Great for PM contracts, coil cleans, and regular maintenance accounts.
How does time tracking work?
When you open a service call, you'll see a timer with a Start button. Tap Start when you arrive, Stop when you leave. The duration auto-fills the labor amount on your invoice based on your hourly rate. If you close the app and reopen, the timer picks up where you left off.
